1. Introduction

CabinMate is committed to help you understand how we try to protect your privacy. We have taken many steps trying to help safeguard customer information we obtain.

This privacy policy ("Privacy Policy") seeks to inform you of our policies and practices and choices you can make about how your information is collected and how that information is used. This is a policy, stating what we try to do. It is not a contract obligation on our part. However, pursuant to this policy you grant certain consents, licenses and exclusions and limitations of liability.

Signature Travel Network Cooperative, Inc., a California consumer cooperative corporation ("Signature") operates the email program for CabinMate. Signature collects, uses and discloses personal information it may receive from your visit to this Site or use of Signature-managed pages, accessed at MyCabinMate.com or pages therein. By using this Site, you consent to Signature's collection, use, and disclosure of your information as described below. Please review this policy. If there is any part you do not agree with, or if you do not think this policy provides enough protection, you should immediately exit this Site and not remain or visit it. If there is information you do not wish to consent to our receipt, collection or use of, you should not use or remain at this Site. (Some information may have been collected from your visit thus far).

2. Our Information Gathering Practices

We obtain information several ways. We try to limit the information we obtain to only what is necessary for the purposes we collect the information. Here are types of information we collect, and where it comes to us from.

Voluntary disclosure. We collect information you provide, such as your name, address, phone, email address and travel preferences. We obtain this from you or from our member agencies who have information about you. If someone plans travel that includes you, like your spouse, family or friend who includes you in travel plans, they may provide us information about you.

Using this site requires disclosure of personal information. You are given a choice to let Signature obtain and transfer to this site, information you provided to Signature or to a Signature member agency; or enter new information yourself. You can choose from these options (clicking on your choice) at the appropriate screen in this site.

We collect information we receive from your visit to this site or use of Signature-managed pages in the site www.signaturetravelnetwork.com. When you visit or use our site, we obtain data about you, the device you use, about your visit, date and time of visit, browser type, IP address, and operating system, internet service provider, websites from which you accessed our site, what you do in the visit, pages you visit, order of pages, time on each page, and other information. These are only examples; technology may let us collect and store other data about your visit, use and activities

Account information. When you create a profile, we ask for personal information, such as your name, username, password, zip code and email address and we collect this if you provide it.

Information from Member Travel Agencies. We collect personal information about you that is provided to us when member agencies use our services. When we provide services to member agencies, we obtain data about the agency’s clients. A member agency’s privacy policy may describe the agency’s sharing of information with us. But we are not responsible for completeness, accuracy or any aspect of a member agency’s or anyone else’s privacy policy.

Third Parties. We receive information about you, from third parties, like credit bureaus. They develop and provide us profile codes about you based on information about you that they have and information we provide them.

Other Information. Other information we collect or develop from your visits to our site or from member agencies, or from our system’s internal processes, could include alternative name(s) you used; unique personal identifier; online identifier; IP, email and/or postal address; information on education, employment, age, relationship status; services and products considered, purchased or obtained; browsing, search, purchase and use histories and tendencies; website path-of-travel; location information; electronic information; employment information; other profile information; preferences, characteristics, psychologic trends predispositions, behaviors and attitudinal information.

Surveys. We value opinions and comments from customers, member agencies, suppliers and others. You can give us feedback through surveys or by telling us your views at any time. Our survey may ask for personal information so we can identify you. Doing this is voluntary. You can choose to not respond to a survey and not send us a comment or respond or comment but not include personal information.

Contests and Sweepstakes. If we sponsor and you enter a contest, sweepstakes or other promotion on the site, we ask for personal information so we can administer it and notify winners. Participation is voluntary.

Applications. If you apply for membership, international affiliation, employment, or to be a supplier or preferred supplier, you will provide personal information in the application and application process. A job application provides us many kinds of personal information, such as your name, address, email address, phone number, tax id number, membership or other number associated with ASTA, ARC, IATAN and state seller of travel registration(s) and photograph. A membership, affiliate or supplier application mainly concerns your company but will also include the above information about owner(s) and/or manager(s).

Event Registration. If you register to participate at an event we conduct, you will provide personal information in the registration process including name, address, phone and email and photograph.

Comments. You can email or phone us or write to us at our address. Our email and mail address and phone number are provided at the end of this policy. Our personnel also receive emails. We store these communications, including personal information you include, so we can respond or evaluate the comments in the future.

Other Information. Possibly we could collect other information not listed above, for example, metadata, and possibly new kinds of information have been derived since this policy was written or will be derived in the future, that we collect or will collect. Personnel could receive information from sources not categorized above, such as being told information, seeing or hearing information on the internet or in other media, receiving unsolicited information, learning something in a discussion and noting it for reference, or any other ways information is received, noted and saved.

Other Sources. We collect any information you enter on our site, or that your device provides to our site, or that you or others give us any other way. Additionally, persons affiliated with us could see, read, hear or receive and potentially make note and collect information received in news and advertising media (broadcast, print, internet, social media) and oral and written communications with others, in the course of activities in roles for us or in personal activities.

3. "Cookies" and Other Web Technologies

We use cookies to try to improve the quality of our service, make the Site easier to use, and protect you and Signature. Cookies are small pieces of information a website sends to your device's hard drive. Through cookies, we obtain non-personal information to help identify and track visitors, their use of this Site, and their access preferences. If you do not want cookies placed on your device, you should set the browser on the device to refuse cookies before using the Site. Or you could visit our Site only from publicly available devices, such as computer terminals at public libraries. The most commonly used browsers let you remove or block cookies using settings in the browser, but in some cases that may impact your ability to access and/or use some areas of this Site.

4. Information We Collected in Past 12 Months

In the past 12 months we collected these kinds of personal information about consumers: names, alternative names used, unique personal identifier and/or online identifier, IP address, email address, postal/mailing address, phone number, device used, browser used, operating system, education, employment, age, marital status, services and products considered, purchased and/or obtained, purchase and use (consuming) history and tendency, browsing history, search history, path of travel on our website, visitor geolocation, electronic information, profile, particular person preference, characteristics, psychologic trends, predisposition, behavior and attitude, registration and other numbers associated with ASTA, ARC, IATAN and seller of travel registration(s), personal photograph and any other kinds of information this policy describes as information we collect.

5. Sources of Information

As noted above, sources of information from which we collected personal information are persons who provide us information about themselves and people in their family or other group traveling with them, persons who provide information in our surveys or participate in our contest or sweepstakes, those who submit comments to us, applicants for membership, affiliation or employment, supplier applicants, member agencies of Signature Travel Network, information our website collects from devices used to access our website, and from third parties, like credit bureaus. Other sources include information received in news and advertising media (broadcast, print, internet, social media) and information received in oral and written communications with others.

6. Purposes for Collecting and How We Use Your Information

Personal information. Information you give us, we use to provide you information on services and programs we offer. We use your IP address to help identify you and gather information for statistical purposes. For clients of member agencies, information you provide us, we provide to member agency(s) of whom you may be or may have been a client, for accuracy, to update their information about you. We use information you provide us, to update information about you that was previously provided by you or by our member agency(s), for use in sending you information on their behalf.

Analyses. We use information about visits to our site to do statistical analyses of user behavior and characteristics and measure interest in and use of areas of the site. We could in the future use the information in ways or to do things we do not currently do or did not do when we obtained the information.

Previously disclosed information. If you previously disclosed information to us or a member agency, we transfer it to this site. We use this to register your use of the site. We use it for accuracy, to update our information on you. We use it for promotion and marketing purposes.

We aggregate survey information and use it to try to make improvements to our site and services. If survey information includes personal information about you, we may use it to try to improve service to you.

Credit Bureaus. We provide information about customers of member agencies or of us, to third parties, like credit bureaus, who use what we provide, together with other information they have, to develop profile codes they provide us.

Applications and Event Registrations. We use application information to evaluate you as a potential member or affiliate of Signature or employee or supplier, to participate in our events or other status for which an application is received. We use address, phone and email information to contact and have alternative ways to contact you. We use numbers associated with ASTA, ARC, IATAN and seller of travel registration(s) to validate and assess your status, assess experience and eligibility for membership. We use photographs for directories and to facilitate recognition of you at events.

Service providers. Third party service providers, such as for web management, consulting, sending communications to you, service and repair of our technology equipment, access and usage, are provided or have access to information you provide, in performing their services for us.

Advertising. Third parties advertise on our site. We do not knowingly disclose individualized personal information to them, but they have access to information through cookies or that you share with them.

Member travel agencies. We share your information with Signature member travel agencies.

Administration. We use information for administrative purposes, such as investigating abuses, responding to inquiries, applying our policies or responding to inquiries and claims.

Investigation. We use or disclose information if we believe this is required or, even if not required, will satisfy a law, regulation or legal request, subpoena, court discovery requirement, to protect integrity of our site, or cooperate with a law enforcement, government or public safety or private investigation, or demand or request of a tax authority, litigant or private party. We can cooperate with a request even if not legally required.

Request or consent. We share information if you ask or consent to us doing so. If information concerns multiple persons (for example, a married couple or other group like a family traveling on the same reservation), we share information on all if any of the persons asks or consents.

Aggregate information. We use non-personal information to customize our content, try to improve our services, conduct research, and provide anonymous aggregated reporting for internal analysis, audits and third parties.

Merger or acquisition. If we merge, acquire or are acquired, or explore doing so, other participant(s) in the transaction and their advisors will have access to information we have. The successor entity could have different policies, or could choose to modify these policies.

We do not knowingly sell, trade or transfer information to others outside member travel agencies and service providers of Signature or outside the scope described above. But new ways of information gathering and sharing and new circumstances may occur. You should not take anything in this policy as assurance that information is not or will not be shared in other ways.

7. How Long We Keep Information

We keep your personal data as long as we believe it may be useful. As an organization in the field of travel the data has potential use to us for a long time. We may need it to send you information on behalf of our member travel agency. It may be useful even after a lapse in usefulness. So we may keep information potentially indefinitely, as long as a travel agency is a member of our organization. If a travel agency’s membership ends, we promptly (within 45 days) delete information associated with that agency.

8. Deletion Request.

You can tell us to delete information about you. If you tell us to delete information about you, we will try to do that within 45 days after getting your instruction. However, we will keep your name, email address and postal mailing address on a list to help us try to avoid again saving information about you and sending you marketing. 9. How to Obtain the Information We Have About You.

You have a right to request that we tell you what personal information we collect, use, disclose and sell. You can get a copy of information we have about you. 10. Accuracy/Correction/Updating of Information

You can help us achieve accuracy of information we have about you. We encourage you to review information for accuracy before sending it to us. We welcome your review of information we have about you. To update or correct information, or request a copy of information we have about you, please contact us, or for clients of our member agencies, contact your travel agent/agency. 11. Choice/Opt-Out

You may ask to not receive communications, for us to not sell information about you, and/or remove information we have about you. You can ask us to block our system from receiving information about you, or delete prior information so that, regarding you, we begin anew as to information we then receive. To not receive communications, please visit your profile on the site, click the unsubscribe link in an email message you receive or for clients of our member agencies, contact your agent/agency or email, mail or phone us with your request. You can also use the email or mail address or phone number to ask us to remove information about you, or direct us to not sell information about you.

Whatever request you make, please also make to any Signature member travel agency you provided information to, otherwise that travel agency may continue to send us information about you. As a result of your request, we will still have some information about you, for example, our system keeps a record that you asked us to remove information and not send email to you. If we made and stored backup records, information about you will remain in those stored records.

12. Security

We try to protect personal information. For example, this site has security measures to reduce risks of loss, misuse and alteration of information under our control. Our measures are updated and tested from time to time. We do not claim to have the most advanced or best possible or perfect security measures. No measures provide 100% certainty against all risks. Inadvertent disclosure, technology changes, hackers, dishonesty by persons with access, human error and weaknesses in procedures are examples why it is impossible for us, or anyone, to guarantee your information cannot be accessed or disclosed. WE AND OUR DIRECTORS, OFFICERS, EMPLOYEES, AFFILIATES, MEMBER TRAVEL AGENCIES AND REPRESENTATIVES SHALL NOT BE LIABLE FOR LOSS, INJURY OR DAMAGE ARISING FROM OR RELATING TO DISCLOSURE OF YOUR INFORMATION. Please do not disclose to us any information that is so confidential or personal that its release would cause you injury.

13. Personal Information of Children

This site is not intended for use by those under age 18. We do not knowingly collect personal information from persons under age 18, share information of persons under age 18 or have knowledge of that information being shared, except as stated in the next paragraph. If we learn we collected personal information from someone who, at the time we learn this, is under 18, we will try to delete that information.

An exception to the above arises from the nature of our members’ services. These are travel services. Sometimes adults travel with children, such as a family trip with children in the group. Then we receive information about children traveling in the group, children’s names and ages, and other information about them. This information will be transferred as described above in this policy, as personal information of the parent or other adult, but typically not as information of the children. 14. Linked Internet Sites

This Policy applies only to information collected by this Site or us. Other Internet sites which link to this Site have privacy and other policies or practices that differ from this Policy. WE ARE NOT RESPONSIBLE FOR POLICIES, PRACTICES OR CONTENT OF OTHER SITES. Being aware when you leave this Site and reading the privacy statements and other policies of each website you visit are your responsibility.

15. Information Sales and Transfers

We do not sell your personal information, in the ordinary sense of selling names and addresses to others unrelated to us for money so they can advertise or solicit you to buy goods or services.

The California Consumer Privacy Act defines “sell” in relation to personal information, more broadly, to include sell, rent, release, disclose, disseminate, make available, transfer or otherwise communicate that information orally, in writing or electronically to another business for money or other consideration. Understood this way, we could be considered to have sold this information to three categories of third parties. One category is our member travel agencies. Another category is fulfillment companies we contract with to print and send printed advertising and marketing through the postal mail and email, for example, about travel packages and tours offered by our member agencies. A third category is internet marketing companies that conduct advertising and marketing for our member agencies over the internet through search engines and social media.

For member events, we provide information on people participating in the event, such as participant names and addresses, to service providers like hotels and transportation services.

The categories of information we provided to these third parties in the past 12 months are: alternative names used, unique personal identifier and/or online identifier, IP address, email address, postal/mailing address, device used, browser used, operating system, education, employment, age, marital status, services and products considered, purchased and/or obtained, purchase and use (consuming) history and tendency, browsing history, search history, path of travel on our website, visitor geolocation, electronic information, profile, particular person preference, characteristics, psychologic trends, predisposition, behavior and attitude, photographs and any other kinds of information this policy describes as information we collect.

We do not sell personal information of persons under age 16 under any of the above definitions, with the exception that information on a person under age 16 who is part of a family or group, could be included in information about the group, provided to the above categories of recipients.

We may transfer information we collect about you to ourself or recipients in countries other than the country where the information was collected. Those countries may not have the same data protection laws as the country where you initially provided the information. When we transfer information to recipients in other countries (such as the U.S.) we seek to protect the information as described in this Policy and comply with legal requirements providing adequate protection for transfer of information to recipients in those countries. By submitting information to us you consent to transfer of your information to countries that may not have the same data protection laws as the country in which you initially provided us information. If you do not want your information transferred as stated here, you should not submit information to us.

16. California Residents Privacy Rights

The California Consumer Privacy Act requires transparency regarding data practices and lets you learn information from us about information we collect, use, disclose, sell, rent, release, disseminate, make available, transfer or share orally, in writing, electronically or other ways, and about our sources and purposes for collecting and sharing information. You can request, among other things, access to and deletion of personal information.

California Civil Code Section 1798.120 may let a California resident opt-out of the sale of personal information to third parties. This policy describes circumstances in which we share your information with third parties. This policy also provides you certain controls and choices regarding our collection, use, and sharing of your information.

California Civil Code Sections 1798.100 and 1798.105 let a California resident make requests to access categories and items of personal information about you, and request deletion of personal information about you. You may make such requests up to two times in any twelve (12) months.

If you are a California resident, California Civil Code Section 1798.83 lets you request information regarding disclosure of your personal information by Signature to third parties for the third parties’ direct marketing purposes.

Only you, or a person you authorize to act on your behalf, may make a request regarding your personal information. For access and deletion, your request must be verifiable for us to fulfill the request. Verifying your request will require you to provide information for us to reasonably verify that you are the person about whom we collected personal information or a person authorized to act on your behalf (e.g., prior transactions of person to whom request relates).

We will use the personal information you provide in a verifiable request only to verify your request. We cannot respond to your request or provide you personal information if we cannot verify your identity or authority.

We normally do not charge a fee. We could charge a reasonable fee or refuse to act on a request if the request is excessive, repetitive or manifestly unfounded.

If you are a California resident under age 18, and a registered user of any site where this policy is posted, California Business and Professions Code Section 22581 permits you to request and obtain removal of content or information you publicly posted.

To make a request, please send an email with a detailed description of the specific content or information to privacy@signatureravelnetwork.com. Such request does not ensure complete or comprehensive removal of the content or information you posted and there are circumstances in which the law does not require or allow removal even if requested.

Under California law, California residents have the right to request in writing from a business with whom they have an established business relationship (1) a list of categories of personal information, such as name, address, e-mail address, and type of services provided to the customer, that a business disclosed to third parties (including affiliates that are separate entities) in the prior calendar year for the third parties' direct marketing purposes; and (2) names and addresses of all such third parties. To request this please write to us by mail or email. Our email and mail address are provided at the end of this policy. We will respond to requests within 30 days of receipt. We are only required to respond to each customer once per calendar year.

17. Nondiscrimination.

You have a right not to be discriminated against for exercising rights under this policy. We will not discriminate against you for exercising any rights described in this policy.

18. Exercise by Your Representative.

Rights described in this policy that you may exercise, may be exercised by your authorized representative. We require proof that the representative is authorized by you. We anticipate that we will accept a form of authorization or permission provided and signed by the consumer authorizing the representative to act, together with verification of the consumer’s identity or other direct confirmation from the consumer of having authorized the representative to act. Alternatively we can accept a signed, notarized power of attorney appointing the representative.

19. How We Respond to Do Not Track Signals.

We do not respond to Do Not Track signals or similar signals.

21. Modifications to This Policy

This Policy was last updated on June 26, 2020. We may revise this Policy from time to time. We will post the revised version here. We recommend you check periodically for the most up-to-date version. Continuing to access or use this Site means you are satisfied with the Policy terms posted at that time.
